Aliv Consulting is looking for a highly organised, accurate and proactive Administrator to support our growing Health & Safety consulting business.
This is not a position for someone who needs to be constantly followed up. 

We require an individual who takes ownership of tasks, works with urgency, maintains high standards and can keep administrative processes moving in a fast paced, deadline driven environment.

The successful candidate will provide administrative and document control support to our operational and consulting teams.

Minimum Requirements
  • Grade 12 / Matric.
  • Minimum 1 year experience in an administrative position.
  • Must reside within the Johannesburg East Rand area.
  • Strong working knowledge of the Microsoft Office Suite, particularly:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft Outlook
    • Microsoft PowerPoint
  • Good computer literacy and ability to learn new digital systems quickly.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • Good typing and data-capturing ability.
  • Strong organisational and time-management skills.
The following would be beneficial but are not mandatory:
  • Health & Safety administration.
  • Construction industry administration.
  • Compliance documentation.
  • Health & Safety file compilation.
  • Document control.
  • SharePoint and OneDrive.
  • Working with client or contractor documentation.

Key Responsibilities
  • Provide day-to-day administrative support to the Aliv Consulting team.
  • Prepare, format, update and manage Word, Excel, PowerPoint and PDF documents.
  • Maintain electronic client, project and Health & Safety documentation.
  • Capture information accurately onto spreadsheets, registers and internal systems.
  • Manage filing, document naming, folder structures and document control.
  • Assist with compiling and maintaining Health & Safety files and supporting documentation.
  • Follow up on outstanding documents and information from clients, contractors and team members.
  • Assist with emails, correspondence and general client communication.
  • Maintain project and administrative trackers.
  • Assist with quotations, reports, appointments, registers and other business documentation.
  • Coordinate information between the office, consultants and site personnel.
  • Check documents for completeness, accuracy and obvious errors before submission.
  • Assist with SharePoint, OneDrive and other digital filing systems.
  • Perform general office administration and other reasonable duties required by management.
